Terms & Conditions of Service - Summary

By providing payment for treatments and other services, you agree to the following which has been explained:

I do not suffer from heart or circulatory problems, high or low blood pressure, epilepsy, diabetes or any similar condition which results in skin sensitivity to the use of Essential Oils, Electrolysis nor UV light or heat..

I am not allergic to nut / seed essences, oils etc which may be present in Tanning retail products or other substances utilised during treatments and have received ‘patch-testing’ of certain products a minimum of 24hrs prior to service

I have informed Remedy Rooms of any disability, condition, allergy, at any level which may require special circumstance or which may affect its ability to exercise due diligence in accordance with the H&S at Work Act 1974.

I am not taking any drugs prescribed or otherwise, particularly antibiotics, tranquillisers, anti-depressants, diuretics, or any other drug which increases the sensitivity of the skin to the sun or Essential oils or otherwise affect my receipt of treatment.

I do not have any infectious or contagious disease or medical condition which could be aggravated by visiting or lead to contamination of other customers, and if in any doubt have sought medical advice before visiting. 

Neither am I in an advanced state of pregnancy, nor under the influence of drugs nor alcohol, nor intend to receive Aromatherapy treatments / Essential Oil within 24 hours before or after obtaining UV tanning treatments nor intend to use UV equipment immediately following waxing treatment.

Following a full investigation of contra-indications I may have been advised to seek my GP for approval prior to treatment / service and accept responsibility for this. If any known or previously undiagnosed medical ailment should deteriorate, again, I will consult my GP before continuing any treatment at Remedy Rooms.

I have received full pre-treatment and post-treatment (aftercare instructions) as appropriate to the treatment provided by Remedy Rooms including advise regarding UV tanning times based on my skin type.

I am aware of current guidelines and have read the posters and listened to advice from employees of Remedy Rooms regarding the use of UV Tanning units and accept it is my responsibility to moderate my use of such facilities and fully accept the currently known health risks associated with UV radiation.

Those under 18 years of age cannot be exposed to UV radiation and if I am under a current age limit for other treatments, usually 16 years of age, I have obtained parental / guardian consent prior to visiting Remedy Rooms.

Other than general public liability as described by Health & Safety at Work Atc 1974, I agree the business is not to be held responsible for loss, damage, injury or otherwise harm to person nor personal belongings brought onto the premises or relating to the premises, employees or property including external areas at any time including the parking of vehicles parked in the designated parking area, or parked on the public highway legally or illegally.

My visit and choice to use the equipment / services including Tanning lotions is entirely at my own risk and waive all rights to make claim against Remedy Rooms. Further specific terms and conditions may apply to the provision of my individual service.

I have been informed to refrain from Vibra-exercise if I am pregnant, suffer recent or possible thrombosis, cardiovascular disorder (inc. valves), advanced or acute arthritis, recent sutures, scars and fresh wounds, foot, knee or hip implants, any metal / synthetic implants (inc. pacemaker), lumbar disc problems, acute inflammations or infections as per guidance from the manufacturers of the Equipment.

I will show respect for the employees of Remedy Rooms at all times including any cause for customer complaint and will not show violent or abusive behaviour, however minor nor receive or accept such behaviour in any way.

Customer Satisfaction Policy

Should you be genuinely dissatisfied with any aspect of visiting Remedy Rooms please notify a member of the team immediately who can then rectify the situation. (If we don’t know about a problem we can’t fix it)

All employees are formally trained to deal with such situations and will always offer a service which is Quality Assured to you to guarantee your satisfaction, however, they are not expected to receive verbal abuse such as being shouted at, sworn at or be in receipt of abusive behaviour or offensive attitude of any kind.

All complaints are logged and processed in accordance with our own Quality Procedures and documented at every step resulting in written evidence the complaint has been resolved. Issue of Gift Vouchers, discounts or refund is given on a goodwill basis and is not evidence of accepting liability.

Violence, Abusive or offensive behaviour toward any of our employees or customers will result in you being asked to leave the premises and the Police Services will be contacted immediately.

Gift Vouchers/Cards, Returns & Refunds Policy

Our policy is to only provide items 'of satisfactory quality', 'fit for purpose', and are ‘as described’ on the packaging.

However, we will gladly exchange or refund items which are undamaged, in original packaging with seal intact within 14 days along with proof of purchase. 

Items bought without a ‘seal’ are not refundable on grounds of hygiene, unless proven to be faulty or unfit for purpose at time of purchase. Please ensure your item is working order as soon as you've purchased it, should it be faulty please notify us as soon as possible as faulty goods can be either replaced or a full refund provided at your request.

Please remember there is no legal right to request a refund or replacement if an item is the wrong size, colour or style, or simply an unwanted present.

Occasionally retail items are available at discounted prices, on sale, or on clearance hence such items not being sold at normal / RRP may be defective, incomplete or feature slight defect to which you are not entitled to a refund.

Gift Certificate (Vouchers) and pre-paid treatments state their validity period on the printed receipt, normally 3 months unless issued for Special Offers. They are not exchangeable for cash, retail products or UV Tanning services and are non-refundable. Otherwise decisions to extend dates or provide refunds etc. remain at our discretion.

Failing to attend a pre-paid appointments or appointments to be paid by Gift Voucher will normally result in a full charge being made. Frequent User Package (Tan & Tone) is a prepaid item valid for 12 months from date of purchase after which they are purged from the Company servers to maintain disk performance.

Deposits are non refundable and may be required for Special Order items or as 50% of your next appointment where unreasonable levels of attendance or persistent cancellations are evident.

Quality & Environment Policy

Our Policy is to Continually improve our Quality Assured Service and full range of after care products from only the highest quality Suppliers to exceed Customer requirements and expectations. Our objectives are to exceed previously established industry levels of Hygiene and also Customer Service at all times, reduce the cost of our Services and continually aim to reduce any negative influence on the Environment. 

By operating in accordance with the requirements of the Quality Management ISO-9001 : 2015, Environmental Management Systems ISO-14001 : 2015, and Health & Safety Management OHSAS-18001 (during transition to ISO-45001) the business as an Organisation can assure the customer of quality and safety of its products.

To aid operation of the Quality Systems, the documented manuals are fully supported by Computerised systems for management of Appointments, Stock, Service Planning and Materials Control and also the Sage HR / Accounting Package to support staff training and encourage their development within the Organisation.

Compliance with the Company Systems is mandatory, the Sections of the Quality Management Manual are directives, and the System is monitored by a framework of reporting methods to allow continuous improvement techniques and annual review to occur to ensure improvements to the effectiveness & stability of the Policy and the Objectives.

 recycling of metals, cardboard and plastic packaging materials using Council approved methods such as local recycling centres and advising Suppliers where excess packaging materials have been used and could be reduced.

 efficient use of water and energy by using thermostat and timed heating and hot water supplies
 use of biodegradable chemicals which are safe to dispose of by normal methods minimising use of solvents by 
  adopting water or natural based products, dust-free acrylic and also non-acetone products
 use of timber furniture from sustainable (managed) forests or fully recyclable metal or plastic items
 minimise noise disturbance to neighbours and not using CFCs and ozone-depleting substances.CCTV Policy

CCTV Policy

This policy seeks to ensure that the Closed Circuit Television (CCTV) systems in use are operated in compliance with the law relating to data protection, i.e. the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 

It takes into account best practice as set out in COP's by the information from the Commissioner (ICO) and by the Home Office. We seek to ensure, as far as reasonably practicable, the safety and security of all staff and all others that use our premises and the security of its property and premises, we therefore deploy CCTV to promote a safe office environment and to monitor the safety and security of its premises and also to assist in the investigation and breaches of its policies by staff and contractors and, where relevant and appropriate, investigating complaints and accidents.

The Head of Facilities at Remedy Rooms is responsible for the systems in use and there maintenance for the purposes of GDPR and accesses the systems through secure app and network login and is the only authorised person, no third party has access.

We operate cameras at the entrances, areas where employees are active and a view of the main server. CCTV cameras are not installed in areas in which individuals would have an expectation of privacy, such as toilets. Cameras are only located so that they capture images relevant to the purpose the system was set up for. No covert recording is undertaken. No audio is recorded.

CCTV cameras are installed in such a way that they are not hidden from view. Signs are prominently displayed near the cameras, so that staff, visitors and contractors are made aware that they are entering an area covered by CCTV. The signs include contact details of the Data Protection Officer, as well as a statement of purposes for the use of CCTV.

Employees must be familiar with the policy and the procedures to be followed in the event an access request is received from either a data subject or a third party.

The images are retained with date and time stamp and not to be retained for longer than necessary, taking into account the purposes for which they are being processed. Data storage is automatically managed by the CCTV digital records which overwrite historical data in chronological order to produce a suitable rotation in data retention.

If there is a legitimate reason for retaining the CCTV images (such as for use in an accident investigation, disciplinary investigation and/or legal proceedings), the footage or still frames can be isolated and saved outside the DVR to a separate encrypted zip file. Any saved images or footage will be deleted once they are no longer needed for the purpose for which they were saved. Recorded images, if sufficiently clear, are considered to be the personal data of the individuals whose images have been recorded by the CCTV system.

Data subjects have a right to access to their personal data under the data protection legislation. They also have other rights, in certain circumstances, including the right to have their data erased, rectified, and to restrict processing and object to processing. They can ask to exercise these rights by emailing the DPO

On receipt of a request – which needs to include the date and approximate time of the recording – the DPO will liaise with the Head of Facilities and Property regarding compliance with the request and communicate the decision to the data subject. This should be done without undue delay and at the latest within one month of receiving the request unless an extension of the period is justified.

If a request is to view footage, and the footage only contains the individual concerned, then the individual may view the footage. The authorised person accessing the footage must ensure that the footage available for viewing is restricted to the footage containing only the individual concerned.

If the footage requested contains images of other people, the DPO must consider whether the images of the other people can be distorted so as not to identify them and seek consent from the third parties to their images being disclosed to the requestor.If these options are not possible, whether it is reasonable in the circumstances to disclose the images to the individual making the request in any case.

The DPO will keep a record of all disclosures which sets out when the request was made and by whom, what factors were considered in deciding whether to allow access to any third party images, whether the requester was permitted to view the footage, or if a copy of the images was provided, and in what format.

Requesters are entitled to a copy in permanent form. If a permanent copy is requested, this should be provided unless it is not possible to do so, or it would involve disproportionate effort. (For example, it may be acceptable to allow a requester to view footage which contains third party images, but not to provide a permanent copy.)

Where images are sought by other bodies/agencies, including the police, with a statutory right to obtain information, evidence of that statutory authority will be required before CCTV images are disclosed.

The DPO will consider disclosing recorded images to law enforcement agencies once a form certifying that the images are required for one of the following reasons has been received - an investigation concerning national security, the prevention or detection of crime, or the apprehension or prosecution of offenders,

Every disclosure of CCTV images (including where authorised persons are given access to view footage in GCB’s office) is recorded in the CCTV Operating Log Book and contains:

the name of the police officer/other relevant person receiving the images
brief details of the images captured by the CCTV including the date, time and location of the footage/images
the purpose for which they will be used
the crime reference number where relevant, and date and time the images are handed over to the recipient.

Complaints in relation to the release of images should be addressed to the DPO. These will be responded to promptly and, in any event, within 30 days of receipt. They will be dealt with in accordance with the provisions of the UK GDPR and the Data Protection Act 2018 (or any successor legislation).

Health & Safety Policy

Health & safety issues at Remedy Rooms are considered in all aspects of daily duties with strictest respect for the Health and Safety and Work Act 1974 and its associated Regulations. We acknowledge and fully accept legal responsibilities for securing the occupational health, safety and welfare of its Employees’ and considering the safety of members of the public at all times and to ensure appropriate protective actions are taken.

We will provide and maintain safe and healthy working conditions so far as reasonably practicable and consider the possible environmental impact of its activities and accept its success is due to the high level of staff competency, demanding but rewarding roles, pleasant working atmosphere, commitment to staff development and the comprehensive training methods and staff development. This helps our commitment to securing the health & safety environment at the workplace.

Hence, we encourage natural employee participation and consultation to develop the business in every way and to be actively involved in maintaining safe operating conditions and practices and to communicate opinion freely.

This Policy, responsibilities and arrangements will be reviewed as required to demonstrate commitment to health and safety at work and ensure standards of health and safety are maintained at all times. Confidentiality & Privacy Policy GDPR 2018

Remedy Rooms is registered as a business in England, the purpose of this statement is set out how we use personal information that we may obtain about you. By receiving our services, generally you agree to this use.

Upon your first visit you are asked to provide certain information such as your name, address, date of birth and contact details such as phone and email. You consent to us storing such information on a secure database and agree for us to use it to fulfil our agreement with you during your visit. You have the right to request to view your own data to ensure it is up to date or to request your details be deleted and as such your own personal data will be over written. Such personal data will only be accessible locally to authorised employees using a username and password and requests to view or delete data should be made with a reasonable notice period as it can be a complex and time consuming procedure simply not possible immediately.

Some of our services will require further details, for example, when using our Gift Certificate service which will require further personal information of your chosen recipient. By providing such details, you are agreeing on behalf of your recipient for permission to store their details also. Information regarding purchasing history and use of UV Tanning equipment will be analysed to aid internal marketing or promotions and to analyse general performance with view to improving the services we offer and to ensure your safety as you will be made aware if you exceed current recommended exposure to UV Radiation.

We will not use personal information for direct marketing by email, telephone, SMS text messaging, post fax or otherwise to communicate discounts, prize draws, special offers etc. without consent nor will your details be disclosed to any Third Party at any time unless it is a Government organisation for the purposes of Fraud Prevention.

When using our Website your IP address is automatically logged by our servers and use to collect traffic data about Customers to our website to assess its effectiveness. No personal information is contained within Cookies, your IP address is not used to identify you personally and Cookies are deleted as soon as you leave our Website. We can not guarantee the security of our website nor email facilities and there is no provision for anti-virus or anti-spam etc. as with virtually any other website today this remains your own personal responsibility and remains an inherent risk of using the World Wide Web.
